Overview
We’re seeking an experienced referral coordinator for a full-time position. This position requires extensive knowledge of private and government payer rules in regard to referrals and prior-authorizations.Responsibilities
- Primary responsibilities include:
- Identify, track, and obtain appropriate referrals from insurance and/or PCP for all office visits;
- Request prior-authorizations for procedures and surgeries;
- Urgent referrals handled as a top priority;
- Obtain retro-referrals and authorizations as indicated;
- Maintain accurate records, tracking the status and receipt of completed referrals;
- Additional billing office tasks may be added to a daily task list as indicated.
Qualifications
- At least 2-year experience with referrals and prior-authorizations (highly preferred in ophthalmology);
- Knowledge of ICD-10 and CPT coding is required;
- Must be up-to-date on all changes in health insurance industry and health exchange programs;
- Strong computer and communication skills are a must;
- NextGen and/or MDI knowledge is preferred;
- Strong attention to detail and concern for completing tasks correctly and efficiently;

Overview
We’re seeking a dedicated and skilled Certified Medical Assistant (must have national certification) to join our healthcare team. The ideal candidate will play a vital role in providing high-quality patient care and support at our retina clinic. This position requires a strong foundation in medical terminology, patient service, and administrative support. The Certified Medical Assistant will be responsible for assisting healthcare professionals in delivering comprehensive care to patients while ensuring a smooth workflow within the practice.Responsibilities
- Patient history: History of Present Illness (HPI), previous medical history, social history, family history
- Obtain and update patient medication lists
- Obtain and record Vital Signs
- Perform diagnostic imaging (CMA's will be trained to assist with fluorescein angiography testing)
- Administration of Eye Drops, Performs Visual Acuity Testing, Pupillary Exam, Tonometry, Extraocular Muscle Function testing (EOM), and Confrontation Visual Field Testing
- Facilitate a smooth clinical workflow by rooming patients/preparing in-office procedures (laser injections)
- Provide patient education support
- Triage patient phone calls
- Cleaning instruments using standard sterile processes
- Cleaning, stocking inventory, opening/closing exam rooms

Overview
The research assistant is primarily responsible for assisting in research patient visits according to International Council for Harmonisation Good Clinical Practice (ICH-GCP) guidelines and according to the Institutional Review Board (IRB)-approved study protocol and/or manual of procedures. Day-to-day activities may include all or some of the essential functions listed below, depending upon individual experience / knowledge and the needs of the organization which are subject to change from time to time.Responsibilities
- Coordinate and schedule subject visits within study/subject specific windows per protocol guidelines.
- Prepare visit-specific documentation and charts for Clinical Research Coordinator
- Observe Coordinator in patient care and management
- Assist Coordinator in monitoring subject flow and assist in subject care and management

- Transcribe subject study information from source documents to the Electronic Case Report Forms

- Set up, prepare subject, and conduct electrocardiograms (ECG) on subjects as required per study protocol
- Promptly request all necessary medical records for Serious Adverse Event Reporting
- Process and ship laboratory biological samples for analysis
- Perform intraocular pressure checks after injections
- Perform trial frame refraction and Early Treatment Diabetic Retinopathy Study (ETDRS) visual acuity V2.0 12AUG2025 3 testing (For Investigator Sponsored Trials (IST)s only, at selected sites)
- Inform subjects and obtain written re-consents in regard to Informed Consent Form (ICF)’s (selected studies)
- Observe and assist scribe in ocular exams for doctors and confirm appropriate treatment per protocol
- Perform other duties as assigned

Overview
The Licensed Practical Nurse (LPN) – Valeda Treatment Coordinator is responsible for coordinating and administering Valeda® Light Delivery System treatments in accordance with physician orders, manufacturer guidelines, and Washington State nursing regulations. This role serves as the primary point of contact for patients receiving Valeda therapy and is responsible for treatment scheduling, patient education, informed consent coordination, treatment administration, device maintenance oversight, troubleshooting, and communication with providers regarding patient care.Responsibilities
Patient Care & Treatment Administration
- Administer Valeda treatments as prescribed by the physician and according to established clinical protocols.
- Verify physician orders, patient eligibility, and treatment schedules prior to each treatment session.
- Monitor patients during treatment and report any concerns, adverse events, or treatment-related issues to the physician.
- Document all treatments accurately and timely within the electronic medical record (EMR).
- Provide patient education regarding treatment expectations, scheduling requirements, and follow-up care.
- Ability to start IV for FA testing
- Blood draws

Patient Scheduling & Coordination
- Maintain treatment scheduling workflows to ensure protocol compliance and maximize treatment capacity.
- Schedule and coordinate all Valeda treatment appointments.
- Monitor treatment adherence and proactively contact patients regarding missed or rescheduled appointments.
- Coordinate treatment schedules with physicians, technicians, and clinic staff to ensure continuity of care.
Informed Consent & Patient Education
- Review physician-approved informed consent documents with patients.
- Ensure informed consent is completed and documented prior to initiation of treatment.
- Answer patient questions regarding treatment logistics and expectations and escalate clinical questions to the physician when appropriate.
- Provide educational materials and reinforce treatment protocols.
Device Operations & Maintenance
- Operate the Valeda Light Delivery System in accordance with manufacturer specifications and clinic policies.
- Perform routine equipment inspections, cleaning, maintenance, and quality assurance checks.
- Maintain treatment logs and equipment documentation as required.
- Troubleshoot basic operational issues and coordinate service requests with the manufacturer or designated support personnel.
- Report equipment malfunctions or safety concerns promptly.
Program Development & Quality Assurance
- Assist in developing and implementing Valeda treatment workflows and operational protocols.
- Monitor program efficiency and recommend improvements to scheduling, patient flow, and treatment delivery processes.
- Ensure compliance with clinic policies, HIPAA regulations, infection control standards, and applicable state and federal regulations.
- Participate in staff training and ongoing competency assessments related to Valeda therapy.
Qualifications
Required
- Current Washington State Licensed Practical Nurse (LPN) license in good standing.
- Minimum one (1) year of clinical experience in an outpatient healthcare setting.
- Strong organizational, communication, and patient-service skills.
- Experience with electronic medical records (EMR).
- Ability to work independently and manage a specialized treatment program.
Preferred
- Experience in ophthalmology, retina, optometry, or ambulatory specialty care.
- Experience with medical device operation and troubleshooting.
- Experience coordinating patient treatment programs and scheduling workflows.
